This Privacy Policy explains how Northwest Front Desk LLC ("Company," "we," "us," or "our") collects, uses, and shares information in connection with CoolDown (the "Service"). By using the Service, you agree to the collection and use of information as described here.

1. Information We Collect

Account information

When you create an account, we (via our authentication provider, Supabase) collect your email address and a securely hashed password. We also store account-related state such as your subscription status, remaining CoolDown 5-Pack credits, and Lemon Squeezy customer/subscription identifiers.

Conversation content

CoolDown's AI analysis feature runs entirely on-device, in your browser. Conversation text you paste in for analysis is processed locally by a language model running in your browser and is not transmitted to or stored on our servers. We do not have access to the content of the conversations you analyze.

Payment information

Purchases are handled by Lemon Squeezy, our payment processor and merchant of record. Lemon Squeezy collects and processes your payment details (such as card number and billing address) directly — we do not receive or store your full payment card information. We receive limited transaction metadata from Lemon Squeezy (such as order/subscription ID, product purchased, status, and renewal date) needed to grant you access to what you purchased. Lemon Squeezy's own use of your payment data is governed by its privacy policy.

Usage & device information

We may automatically collect limited technical information, such as browser type, device type, and general usage/error logs, to help us operate, secure, and improve the Service.

2. How We Use Information

• To create and maintain your account and authenticate you;
• To provide, maintain, and improve the Service;
• To process purchases and grant the corresponding premium access or credits;
• To communicate with you about your account, purchases, or changes to our policies;
• To detect, prevent, and address fraud, abuse, or security issues;
• To comply with legal obligations.

3. Third-Party Service Providers

We share limited information with the following categories of service providers, solely to operate the Service:

• Supabase — authentication and database hosting for account and subscription data.
• Lemon Squeezy — payment processing and billing, acting as merchant of record for all purchases.
• Cloudflare — hosting and content delivery for the Service's website and static assets.

We do not sell your personal information. We do not share your account information with third parties for their own independent marketing purposes.

4. Cookies & Local Storage

We use essential browser local storage to keep you signed in between visits (via Supabase Auth session tokens). We do not currently use third-party advertising or tracking cookies.

5. Data Retention

We retain your account information for as long as your account is active. If you delete your account, we will delete or anonymize your account data within a reasonable period, except where we are required to retain certain records (for example, transaction records) to comply with legal, tax, or accounting obligations.

6. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, row-level access controls on our database, and signature verification on all incoming payment webhooks. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Rights & Choices

Depending on your location, you may have rights to access, correct, export, or delete your personal information, or to object to or restrict certain processing. You can review and update basic account information within the Service, or contact us using the details below to make a request. We will respond to verified requests within the timeframe required by applicable law.

8. Children's Privacy

The Service is not directed to, and we do not knowingly collect personal information from, children under 13 (or the minimum age required by your local law). If you believe a child has provided us with personal information, please contact us so we can delete it.

9. International Data Transfers

Our service providers may process and store information in countries other than your own. Where required, we rely on appropriate safeguards (such as our providers' standard contractual clauses) for such transfers.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be indicated by updating the "Last updated" date above, and, where appropriate, through additional notice within the Service.
